Job titleEmployment Authorization and Operational Screening SpecialistReports toSVP, Human Resources Job purpose This job description defines the role of the Employment Authorization and Operational Screening Specialist as defined by general duties in Support Services.  The Employment Authorization and Operational Screening Specialist is focused on ensuring effective and organized client compliance operating procedures are created, implemented, updated and followed based on regulatory and client requirements. The role holder will also ensure the accuracy, completeness and consistency of data in company systems. All employees of Staffing 360 Solutions act in accordance with our core values: Honesty, Integrity, Transparency, Tenacity, and Belief. Duties and responsibilities 
  • Conducts audits to ensure Company onboarding and contractual pre-employment requirements have been met.  Pre employment requirements include I9, E-Verify, pre-screening, the onboarding package, client specific documents and safety documents.
  • Creates pre-screening packages in line with client contractual requirements. Performs ongoing or as needed screening, such as exclusion checks, as required by clients.
  • Coordinates and administers as needed client policy sign offs, screening and reporting requirements and tracks completion status.
  • Provides support to field by answering questions regarding employment authorization and client screening requirements.
  • Assists with new hire and ongoing training.
  • Participates in new client implementation and ongoing client compliance meetings.
  • Creates and updates client required documents/onboarding packages in ATS onboarding system.
  • Ensures the responsible handling of employee personal data and provides contingency support when needed in scanning paperwork, drug tests and background checks to the ATS.
  • Responsible for accurate and prompt data entry of client operational details, and onboarding requirements in ATS.
  • Coordinate and complete client supplier, MSP and VMS setup for Human Resources related items.
  • Monitors and manages Compliance email ensuring quick response time (within 1 hour) for urgent requests, but no later than 24 hours for non-critical requests. 
  • Assists the field in creating, formatting, and sending client required reports.
  • Provides monthly compliance status reports to the SVP, Human Resources.
  • Tracks expiring work authorization paperwork and communicates with Onboarding Administrators, CSMs, and Recruiters to ensure updated paperwork is received. 
  • Create Standard Operating Procedures for the pre-screening of national clients to ensure consistency and compliance across all offices and divisions.
  • Reviews and maintains I9 Advantage Dashboard in compliance with I-9 and E-Verify requirements.
  • Responsible for overseeing and managing the E-Verify TNC process for all contractors and ensures action is taken promptly and correctly.
  • Escalates risks, red flags and non-compliance to the SVP, Human Resources for relevant action.
  • Conducts an annual purge of I9’s and paperwork which is no longer relevant. 
  • Assists with client & regulatory body audits by collecting, evaluating, and submitting requested documents.
  • Assists in ensuring State and Federal labor posters are posted and up to date in field offices and online.
  • Assists in introducing new processes into field offices as required by the SVP, Human Resources and in line with legislation and company policy changes.
  • Requests and provides Certificates of Insurance (COI) for new clients based on contractual requirements.
  • Assists with the client pre-screening bill back process
  • Keeps documentation of client related requirements and changes, ensures they are communicated to the field and updated in ATS.
  • Works with Safety and other departments to integrate customer specific requirements into onboarding packages.
  • Follows up on outstanding required onboarding and pre-screening items.
  • Maintains all onboarding packages and makes updates or changes as necessary.
  • Merge duplicate employee profiles in ATS
  • Exemplify strong knowledge of industry protocols and legal and regulatory requirements. Willing to research and learn as regulations change.
  • Provide exceptional customer service to internal and external clients.
  • May be required to travel as needed.
  • Other projects as assigned.
 Qualifications
  • Advanced PC skills in programs such as MS Word, Excel, Power Point and Outlook.
  • Must be professional, flexible, and reliable. Able to interact with all levels of management, peers, candidate, and client personnel in a proficient, courteous, discrete and professional manner.
  • Proven ability to meet deadlines.
  • Superior attention to detail and results oriented.
  • Ability to read and understand contracts.
  • Advanced written, verbal, and listening skills; Ability to write clear and concise communications with considerable knowledge of proper grammar, punctuation, and spelling.
  • Strong time management and organizational skills. Must be able to prioritize and complete multiple tasks in a fast-paced environment.
  • Excellent interpersonal and customer service skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to work with limited supervision. Strong self-initiative.
Education 
  • Bachelor’s degree or equivalent combination of education and experience necessary.
  • At least 3 years of administrative experience required, preferably in Compliance, Operations, Human Resources or Legal.
